Acceptable Use & Fair Usage

This Acceptable Use & Fair Usage Policy (“AUP”) supplements our Terms of Service. It applies to all users of OEMVex (website, app, trades portal, and APIs).

1. Permitted use

Use OEMVex only for lawful business purposes related to running a UK trade, field-service, or delivery operation: quoting, scheduling, invoicing, customer communication, and team coordination.

2. Fair usage (plan limits)

Paid plans include defined limits. Current examples (see pricing for the live list):

• Team users — maximum active users per plan.
• Storage — total file storage for photos and attachments.
• Your assistant (AI credits) — one pool per calendar month: 1 credit per typed command, 1 credit per spoken minute; extra packs may be purchased.
• Review automation — monthly cap on Solo; unlimited on higher tiers.
• Job photos — per-job photo limits by plan.

We enforce limits in software. Repeated attempts to bypass metering may be treated as a material breach.

3. Prohibited conduct

You must not:

• Use the service for fraud, money laundering, or illegal trade.
• Harass, threaten, or send spam to customers or third parties via our email/WhatsApp tools.
• Upload viruses, exploit code, or attempt unauthorised access to our systems or other tenants’ data.
• Reverse engineer, scrape, or bulk-export the platform to build a competing product.
• Share accounts across unrelated businesses or resell access without written permission.
• Use AI features to generate deceptive quotes, fake reviews, or content that violates advertising or consumer law.

4. AI & automation

• AI outputs are assistive only — you remain responsible for all customer-facing documents and messages.
• Do not submit special-category personal data (health, etc.) into AI unless you have a lawful basis and it is necessary.
• Automated review requests must comply with platform rules (Google, Meta) and UK marketing law.

5. Our response to misuse

We may, at our discretion:

• Issue a warning and request remediation.
• Throttle or disable specific features (AI, messaging, uploads).
• Suspend your tenant account immediately (you and your team lose access).
• Terminate the account and refuse future sign-ups from the same business or individuals.
• Report illegal activity to authorities or affected parties.

Suspension for abuse does not entitle you to a refund for unused subscription time unless required by law.

6. OEMVex platform support staff

Authorised OEMVex staff with platform access may access your account only when you request support or for security investigations. Such access is logged internally.
